How the procedure works
Which certificate Spain accepts
Spanish consulates and foreigners’ offices request a criminal record certificate from every country where you have lived in recent years — not only from your country of citizenship. How far back the period goes depends on the type of visa or permit: some document checklists require two years, others five, so you need to check the requirements for your specific procedure. The certificate is accepted only with an apostille and a translation into Spanish. A translation made by a sworn translator listed in the Spanish Ministry of Foreign Affairs register does not need to be apostilled separately.
How the certificate is obtained in Russia
The application is submitted through Gosuslugi, the MFC, or directly to the Ministry of Internal Affairs information centre. The official processing time is up to thirty calendar days; if you also order a paper copy with an apostille, add a few more days for the apostille itself. The apostille on this type of certificate is affixed by the Russian Ministry of Internal Affairs — not by a notary or a consulate. An electronic certificate from your Gosuslugi personal account is not accepted in Spain: the apostille must be placed on a paper document.
Validity period — the main planning trap
A certificate has a short shelf life: it is usually accepted if no more than three months have passed since the date of issue; six months is allowed less often. This gives rise to a sequence that saves money: first collect everything that takes a long time and does not expire, and only at the very end order the certificate. A certificate ordered early ’just to have it ready’ almost always becomes invalid by the time of submission, and has to be paid for twice.
What we need from you
- Passport and all addresses at which you have been registered
- List of countries where you lived during the required period — a separate certificate is needed for each
- First name in Latin script exactly as in your international passport
- Documents showing a name change, if one occurred
- Power of attorney if a representative is collecting the certificate
What is holding the case up
- An electronic certificate was ordered — an apostille cannot be affixed to it
- The certificate was obtained at the very start of the document collection process, and by the time of submission it is more than three months old
- The translation was done by a standard or notarial translator rather than a sworn one
- In one of the countries of residence the procedure takes considerably longer than in others, holding up the entire application package
- Transliteration mismatch between the certificate and the passport
- The apostille was placed on a copy, but the authority requires the original
